Full Details For Fleet Co-ordinator Jobs

Main purpose of the job

The primary role of the Fleet Coordinator is to be responsible for overseeing and managing fleet vehicle for the Organisation.

Key responsibilities

· Fleet Inspections to be carried out weekly

· Schedule fleet maintenance and repairs – Daily if/when required

· Fleet logbooks to be inspected for any incomplete entries or discrepancies – Daily

· Fuel cost recovery should be updated and processed weekly on AX – Monthly on the 25th

· Inform (Service/Retail) Line Managers of any fleet scheduling in advance- 1 day in advance

· Ensure the Teams has an alternative vehicle to use when and service or repairs are scheduled – 1 day in advance

· Work with external vendors, including mechanics

· Vetting done on vendors before using their services – 5 working days

· Quotations needs to be approved by Department Manager before processing orders – 1 hour

· Once the order has been approved by the Department Manager the Vendor will need to provide a proforma invoice for an internal order to be created and submitted to Finance for payment

· Daily maintain and manage all fleet inventory

· Daily monitor kilometers, fuels expenditure, fuel receipts vs movement reports

· Always maintain a database of vehicle and driver information – Daily/Weekly

· Assist with process improvement

· Responsible for fleet in all regions – If/when required

· Damages to fleet vehicles needs to be always addressed accordingly as per the Company Fleet Policy- If/When required

· Fleet expenditure report to be updated weekly and submitted to Line Manager

· Fleet cost report spreadsheet to be updated when the vehicle always returns from service/repair – If/when required

· Schedule fleet maintenance and repairs – 2 days turnaround

Knowledge

Competencies

· Knowledge of Microsoft Office applications

· Excellent communication skills

· Time management and organizational skills

· Accuracy and attention to detail

· Ability to prioritize and work under pressure

Experience & Qualifications

· Minimum Grade 12 / Matric

· Fleet Management Diploma

· 5 years’ experience in a fleet coordinator role

Job Type: Full-time

Salary: From R14,000.00 per month

Ability to commute/relocate:

  • Midrand, Gauteng: Reliably commute or planning to relocate before starting work (Required)
