Full Details For Management Assistant Jobs

Opportunity exists for a part-time Management Assistant doing Rental Administration and Business administration to a property investor and engineer

  • This is a private employment opportunity (You will be directly employed by a person as opposed to a company). The employment contract will be moved to a formal company once the company is created and formalized.
  • This is a part-time (60-hour a month) work

Remuneration (monthly)

  • R6 000 per month excluding commission
  • R300 per month for phone and data
  • R200 for petrol however if you are required to drive then AA rates can be claimed

This is a remote working opportunity requiring at least once a week office time

It is preferred that the Candidate lives in the City of Cape Town municipal area, due to required travel with Northern Suburbs preferred.

  • This opportunity is a systematic transition from current Rental Agency to In-house rental administration

Current portfolio is below 15 properties as properties increase above 15 or significantly on rental income, the salary will be reflective of the increases. Some of the work outside of the Rental Administration can add to the overall salary based on commission payments. Details shall be discussed in the interview.

  • Pretoria (special arrangement in terms of duties will apply)

REQUIREMENTS:

  • Administration working experience
  • Working experience on TPN products will be beneficial (training shall be provided)
  • Property rentals experience is a big bonus but not a necessity
  • Computer literate
  • Grade 12
  • Experience in accounting will be beneficial
  • Available to start immediately
  • Must have excellent administration skills.
  • Must be organized and able to stick to deadlines.
  • Own transport is essential.
  • Able to work after hours (viewings of properties are usually in the evening.)
  • Good at interpersonal relationship building

RESPONSIBILITIES:

Administration Duties (mostly rental properties):

  • Day-to-day admin around property rentals
    • Liaising directly with tenants
    • Liaising with the owner(s)
  • Qualifying and vetting tenants
    • Procurement and placing qualified tenants using TPN programs
  • Work with relevant rental managers as required on the phase-out
  • Access all rental data
  • Input miscellaneous rental data such as maintenance charges, utility charges or any other relevant charges
  • Invoicing and statements to the landlords and tenants monthly
  • Updating databases on an in-house system
  • Assist with general queries/tasks when needed
  • Managing Contractors
    • Maintenance Providers to be shortlisted based on agreed criteria
    • Additional service providers (as required) shall be listed
    • competitive pricing review
    • Project Coordination of any works done on the properties, including sign-off of the work (or making of alternative arrangements)
  • Inspections as required per property
    • Incoming and exit inspections are critical
    • Procedures to be created and optimised for all inspections
  • Record all payments received
  • Ensure all payments are accurately allocated to tenant accounts
    • Review all rental payments received
    • Identify accounts that are in arrears by defined dates
    • Generate arrears letters
    • Track arrears accounts
    • Make arrangements with relevant tenants as appropriate and required
    • Follow through all legal processes
    • Finalise accounts for all exiting tenants
    • Implement all required maintenance and final utility charges
    • Generate deposit refund

The purpose would be to do all administration of rental properties and provide regular feedback to the owner(s). This will be done in the name of the owner(s).

Assistant Duties:

  • Ad-hoc requests from Property Owner(s)/Employer to be completed as required and within reason (this shall not form part of the day-to-day and should not take up considerable time)
  • UIF applications and maintenance (for other employees)
  • Tax summary (both for the properties as well as for the employer)
  • Document control (an administrative process of all works associated with the job description)
  • Feeding the giraffe
  • Sales and marketing of engineering services (as allowed by employer) to be done
    • This will have a commission payable
    • The employee will have to do that administrative processes
    • Invoicing of work done, and following up on payments
  • Managing Contractors on behalf of the employer on various tasks
    • Ad-hoc request for maintenance and works from employer to be done
  • Other works as time allow (within reason). This can include a variety of tasks not aligned to administration. This would be similar to Personal Assistant duties etc,

Ideal Candidate:

The ideal candidate would be someone with some administrative experience in the rental/housing market. Alternatively, the person should be a quick study and be able to decipher the acts and regulations required to ensure compliance with the law.

The ideal candidate would be someone that is looking for additional income or something to keep them busy after having dropped the kids at school, or alternatively someone working in the “gig” economy looking for additional stable income.
