Duties & Responsibilities
Supplier Administration

Assist in coordination with Procurement on supplier on-boarding, ensuring compliance with Tsebo Procurement policies

Complete all new supplier credit applications.

File invoices and correspondence in a methodical manner for easy access.

Respond to supplier payment queries.

Financial Administration

Ensure that the necessary documents are attached to every supplier invoice where applicable as follows, goods and services received note, delivery note/job card, purchase order and quotation.

Check supplier invoice to ensure it complies with all current legislation.

Check supplier invoice to purchase order and goods received voucher to verify correctness of quantity and price.

Check correctness of general ledger allocation and coding of invoices against bill of quantities.

Ensure head of departments sign-off all invoices in respect of orders pertaining to services rendered.

Where necessary, liase with auditors and provide required documentary support

Ensure timeous processing in accordance with TFS company policies and procedures to TFS Head Office Finance taking due cognisance of due dates for payment and closing of General Ledger.

Make copies of all pass-through costs invoices and supporting documentation.

At month-end reconcile pass-through costs on download from Infor EAM against pass-through costs captured in GL.

Prepare a summary according to client requirements of all pass-through costs to be handed to client for invoicing purposes after receiving invoice and schedule from head office.

Ensure quality control over financial transactions and financial reporting

Statutory Reportinreg quirements:

Preparation of Annual Financial Statements

Liaising with auditors and ensuring appropriate governance to prevent audit findings

Submission of necessary tax requirements including VAT, income tax, etc.

Working capital management

Ensure accurate billings are prepared and submitted timeously to the client for payment

Drive collections to ensure appropriate cash management

Maintenance of clean debtor and creditor age analysis

Project Accounting

Ensure correct accounting principles are applied for the major maintenance projects

Management of the financial hurdles and principles with Operations regarding recoveries, supplier term management, etc.

Financial controls & governance

Ensure application of TFS company policies and procedures at all times

Performance of monthly Balance sheet reconciliations, ensuring resolution of reconciling items

Undertaking adequate preparation for JV governance committees regarding finance related matters as well as implementation of required matters i.e. EXCO, FINCOM, Board, AGM

Qualifications

Minimum Grade 12

Previous experience in a similar role in the Facilities, Workplace, Design & Construct industries

Working knowledge of Sourcing, Procurement and Supplier Management processes
